For government offices
Any document, findable in seconds
Lincoln AI is a document portal built for government offices. Scan a document — typed, printed, or handwritten — and it is searchable. Any document type. Any collection size.
Lincoln AI is Cott Systems’ AI-powered document management system. It makes the documents your office already has — decades of them, in any format — word-searchable through a browser. Staff find what they need without leaving their desk. The public finds what they need without coming in.
We built this. Lincoln AI is developed and maintained by the same organization that builds and maintains your government software at Cott Systems.
Find any document, in any collection
Not a file index. Not a folder structure. A search.
Staff type a name, a keyword, or a phrase — and matching documents surface immediately, regardless of how many documents are in the system. Search results link directly to the document image. There is no separate step to retrieve the file after finding it.
Lincoln AI searches across the full text of every document in the system. If the word is on the page, it will be found.
Any document size. Any collection size.
A single-page form and a hundred-page survey are searched the same way. A collection of ten thousand documents and a collection of ten million are searched the same way. The search does not slow down as the collection grows.
Handwritten documents included
Most document search tools stop at typed text. Lincoln AI does not.
Lincoln AI reads handwritten documents — field notes, historical records, signed forms, older files that predate digital workflows — and makes their content word-searchable alongside everything else. If a name is written by hand on a 1940 deed, it comes up in the same search as a name typed on a 2024 filing.
Offices with older document collections, or with documents completed in the field, get full search coverage — not partial coverage with a handwriting exception.
Filtering that applies itself
Lincoln AI assigns filters to every document automatically.
Document type, date, and other attributes are read from the document and applied as filters at upload. Staff do not tag documents manually. There is nothing to configure before a document becomes searchable.
When searching, filters can be combined. Narrow by document type and date simultaneously. Add a keyword. Remove a filter. Results update immediately. The system handles complexity — the person searching does not have to.
A repository that stays current
Not a batch. Not a snapshot. A live system.
Documents appear in Lincoln AI as they are added. There is no publish step, no overnight sync, no window of time when a document exists in the office but not in the portal. The moment a document is in the system, it is searchable.
Remote staff, satellite offices, and — where access is granted — the public all work from the same portal. One place. Always current.

Questions government offices ask
What kinds of documents can Lincoln AI read?
Any scanned document — forms, filings, correspondence, contracts, deeds, permits, reports, historical records. Lincoln AI is not built for a specific document type. If it has been scanned, it can be searched.
Can it read handwritten documents?
Yes. Lincoln AI reads handwritten text alongside typed and printed text. Handwritten documents are fully searchable — they are not excluded or treated separately.
Which offices use Lincoln AI?
Any government office that manages documents and needs staff or the public to find them. Recording offices, clerks of court, assessors, treasurers, and others. Lincoln AI is not built for a single office type.
Does it replace our existing document management system?
Lincoln AI can work alongside an existing system or serve as the primary portal. It does not require replacing software your office already depends on.
Is this built by Cott or a third party?
Lincoln AI is built and maintained by Cott Systems. It is not a resold or white-labeled product from an outside vendor.
